This Privacy Policy explains how Arcoma ("we", "us") collects, uses, stores and protects information when you use the Arcoma CRM application and related services (the "Service"). Arcoma CRM is a business application used by employees and authorised users of Arcoma and its customers.

1. Information we collect

  • Account information — name, email address, mobile number, employee ID, job role, and the division/location you are assigned to.
  • Business records you create — leads, contacts, accounts, deals, quotations, orders, tasks, visits and related notes or attachments.
  • Usage and technical data — sign-in activity, IP address, device/browser type, and application logs used for security and troubleshooting.

2. How we use your information

  • To provide, operate and maintain the Service.
  • To authenticate users and enforce role and branch based access.
  • To process business documents such as quotations and orders, including syncing them with our ERP system.
  • To send service related notifications and reminders.
  • To secure the Service, investigate misuse, and meet legal or accounting obligations.
We do not sell your personal information, and we do not use it for third-party advertising.

3. Sharing

Information is accessible to authorised users within your organisation according to their assigned role and branch. We may share information with service providers who host or support the Service (for example hosting, email delivery and error monitoring), and where required by law.

4. Data retention

We retain account and business records for as long as the account is active or as needed to provide the Service, and thereafter as required for legitimate business, accounting, or legal purposes.

5. Security

Access is protected by authentication and role based permissions. Passwords are stored hashed, and transport is encrypted (HTTPS). No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.

6. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information. You can submit an account deletion request here: Request account deletion.
Note: because Arcoma CRM is a workplace application, some records you created may be retained by your organisation as business records even after your user account is removed.
